Policies

Our Mission

The Archives serves as the primary repository for materials pertaining to the Berry Schools , Berry College and Martha Berry. The principal purpose of the archives is to appraise, collect, preserve, maintain, and make accessible records of historical value to the institution. In addition, the archives seeks to educate its constituents about its holdings, policies and procedures through outreach and instruction activities.

Collection Development Policy

The Berry College Archives collects materials in a variety of formats, including, but not limited to books, paper documents, microforms, and videotapes. The materials collected include publications and records generated by Berry College , its students and faculty, its alumni, and publications pertaining to the Berry Schools , Berry College , and/or Martha Berry and the Berry family. The archives welcomes relevant donations.

Photograph Collection Development Policy

The Berry College Archives collects images that document the history of the Berry Schools, Berry College and the life of its founder, Martha Berry. Photographic formats collected include color images, black & white images, slides and images in electronic formats. Access to the photographic collections is available within the archives.

Photocopying

Archives staff perform all photocopying . The archives photocopies only materials intended for research or private study. In accordance with current copyright law, only one copy will be made of copyrighted materials, including manuscripts. The archives will copy an entire work only when shown a copy of written permission granted by the copyright owner. The archives may refuse a request for photocopying if such copying will violate copyright law or if it will damage fragile materials. Rules concerning photocopying and copyright law information are posted at the reference desk. There will be a charge for photocopies. See payment schedule for photocopies.

Photograph Duplication Policy

The Berry College Archives provides duplication service of photographs within its care through scanning into electronic format. Services consist of scanning and printing of photographs (applicable fees will be charged), including scanning to a specific resolution and format (TIF, JPEG, BMP), and saving photographic files to CD-R. The Archives staff does not provide graphic design assistance or photograph manipulation – such manipulation is the responsibility of the researcher.

Large projects will take time, so please plan accordingly. The Archives does not provide “rush” service on large duplication requests.

Interlibrary Loan

Items located in archives will not be available on loan. Portions of published materials may be photocopied and loaned in accordance with U.S. copyright law (Title 17, United States Code).

Restricted Materials

The archivist may restrict access to some materials in order to protect the interests and privacy of living persons. Use of some materials may be temporarily restricted by request of the donor. Photocopies of material may be available when originals are too fragile for use. Any specific restrictions on collections or parts of collections will be indicated in the finding aids for those collections. Anyone needing information from restricted materials may consult the archivist.
