BERRY ALUMNI CENTER RENTAL POLICIES

Hours of Operation
The Alumni Center’s business hours are Monday–Friday from 8 a.m. to 5 p.m. Events may be scheduled in the center between 8 a.m. and 10 p.m. Monday through Saturday. The Alumni Center will be unlocked one-half hour prior to events scheduled during non-business hours.


Reservations
Reservations may be made by calling the Alumni Center at 706-236-2256 or 800-782-0130, or by e-mailing alumni@berry.edu. The applicable room rental fee, a signed reservation form, and a completed Berry College Facility/Property Indemnification/Hold Harmless
Agreement are required to confirm a reservation.


Damage Deposit

An additional $100 deposit is required for social events. This fee will be refunded if there is no major damage such as broken furniture, equipment, or glass, or stained carpet/furniture. If expenses to repair, clean or replace furniture or equipment in the Alumni Center exceed
$100, the renting party will be responsible for the actual cost.


Security Fee
A non-refundable security fee of $50 may be required for non-Berry events. This fee will allow the caretaker to see that doors are unlocked, make a phone accessible if needed, and generally oversee the furnishings and building during the event. This fee is in addition
to the room rental fee and will be due at the time the reservation fee is paid.


Food and Beverage

If food and beverages are to be served, the caterer must meet with the appropriate staff at least two weeks before the event to review the policy regarding the kitchen. Alcoholic beverages are not permitted on the Berry College campus. Red punch is not permitted. The
caterer is responsible for the following:
Loading, setup, clean up and removal of goods, equipment and supplies
Removing all food from kitchen
Removing all trash from building


Music
Only acoustical music is allowed in the Alumni Center. Prior approval must be given by the appropriate staff for use of the piano in the Ford Living Room. Flash photography is not allowed in the Alumni Center.


Parking
Parking for the Alumni Center is available in the Alumni Center parking lot and the lot south of the Ford Auditorium. Parking availability cannot be guaranteed.


Liability
The Office of Alumni Relations does not accept responsibility for damage to, or loss of, any merchandise, equipment or articles brought into the Alumni Center or onto the Berry campus prior to, during, or following an event. For off-campus usage, the host or host organization
is responsible for liability insurance coverage. See Berry College Facility/Property indemnification/Hold Harmless Agreement.


Guidelines
• The Alumni Center cannot be utilized for partisan political activity, political or interest group fundraisers, or any event resulting in financial gain for the sponsoring organization or individual.
• Any event held in the Alumni Center must be by written invitation. Events open to the public or by general announcement are not allowed.
• No posters, charts, signs, decorations or other items are allowed to be attached to the walls, doors, pillars, stairways or hung from the ceiling or light fixtures.
• No animals are allowed inside the Alumni Center, except those used by persons with disabilities.
• No tobacco products may be used within the Alumni Center or within close proximity to the entrances to the building.
• Candles must be used only in appropriate containers. No open flames are allowed, and candles should not be placed directly on any furniture.
• In the event of severe weather, the Office of Alumni Relations will make every attempt to remain open. However, the Alumni Center will be closed if the college closes.
• Appropriate attire is required for events held in the Alumni Center. Shoes and shirt are required for all events.


ALUMNI CENTER FACILITIES
Elrod Entrance Hall
Visitors entering the main lobby of the Alumni Center will find a warm and welcoming entrance. This space is named for Julius and Kathryn Elrod, whose estate in 1988 provided the first funds to build the Alumni Center. This lobby is decorated in 18th and 19th century English furnishings, giving it a historic feel. The flooring is Italian stone.
Ford Living Room and Vestibule Rooms 105 and 106
The Ford Living Room and accompanying vestibule are not only the heart of the Alumni Center, but they represent a focal point for all of the Ford Buildings. The living room is representative of an English great hall in a manor house or castle. A large fireplace, custom iron windows, large stained-glass windows and custom woodcarvings are prominent features. The interior of the living room contains many 18th and 19th century furnishings, reinforcing the English Gothic style of architecture of the Ford Buildings.
Kitchen Room 107
A large, residential style kitchen is available to assist with refreshments for your events, programs and meetings.
Dining Room Room 117
A formal dining room is available for small groups. The table seats up to 12 guests.
Multimedia Room Room 128
This large conference room has various furniture options that allow auditorium style seating or classroom style seating. Custom oak paneling highlights the room. This room contains state-of-the-art multimedia projection equipment featuring a ceiling-mounted projector, wireless LCD control panel, electric ceiling-recessed screen and recessed ceiling speakers.
Conference Room Room 124
This large conference room can also accommodate auditorium or classroom style seating. Custom oak paneling highlights the room.
Board Room Room 118
This room is designed for small meetings and seats up to 10 people. Custom oak paneling creates a wonderful atmosphere.
Classroom Rom 132
The room is equipped with whiteboards and can accommodate auditorium or classroom style seating.
