Group Reservations
Guests
who book six or more rooms with us here at The Cottages are categorized as a
Group and must complete several extra steps in the reservation process. Please
note that to stay with us here at The Cottages at Berry, you must be affiliated with the
college in some way.
Upon
making your reservation, you will be notified of your Group status and will be
put in contact with The Cottages’ Group Reservation Manager. The manager will
work with you to plan your stay here with us, answering any questions that you
may have and streamlining the reservation process.
The
primary contact from each group will be asked to fill out several forms:
1). Rooming List- This form requires listing
which individuals will be staying in each room as well as their arrival and
departure dates—this form is accompanied by a complete floor plan of the
facility along with a list of the accommodations within each room to aid you in
making room assignments. When assigning rooms, please
keep in mind that the President’s Office has the ability to reserve Frances
Cottage as little as five days out, so it is recommended that you make other
accommodations in the rare event that this facility becomes unavailable for your
date.
2) Group Agreement Contract- All groups are
required to follow The Cottages policies and procedures while using our
facilities. This form should be signed and submitted to indicate agreement with
these policies.
These
forms may be emailed, mailed or faxed back to The Cottages at Berry when they are complete. We ask that those
be submitted to us at least two weeks prior to the event.
Additionally,
the Group’s primary contact is responsible for indicating how keys should be
distributed. The contact may pick up and distribute keys themselves, or The
Cottages staff may check in each guest individually as they arrive. If the
latter, any late arrivals, those guests who prefer to check in after 5pm, may
pick up their keys at the gate house as they arrive on campus.
Please
note that we are authorized to take only one form of payment per group; the
primary contact is responsible for this payment.
The
Cottages at Berry
maintains a stringent check-out policy. We ask that all guests be out of their
rooms by 11:00am. Late check-outs may be authorized in certain cases; in these
instances a service fee of $25 will apply. Late check-outs will not be granted
for any later than 1:00pm.

diligently to ensure that all of our guests have a wonderful time while they
are here, and we are committed to providing them with a clean and comfortable
