Guidelines for Requesting SOAP Funding
- The group must show that the request for the allocation of funds is for a worthy cause. Such causes should mainly seek to enhance the academic progress, leadership ability, and cultural awareness of Berry students.
- All requests will be handled in accordance to the SOAP application process, as determined by the Budget and Finance Committee (see SOAP Fund Procedural Policy).
- The SGA Constitution, Article XV, Section C, states: "Any request for a club to receive funds must be sponsored by that club's voting representative." One exception is allowed in Article XV, Section D: "Any voting SGA representative may request SOAP funds on behalf of any organization which has never held a voting seat in SGA, and does not receive funds from Berry College. The distribution of vending machine profits will not count as funds from Berry College."
- The representative making a SOAP request must be classified as in 'good standing,' meaning that s/he has not exceeded the absentee limit and is completing her/his service project requirements. If an organization has lost its voting rights by way of its representative not maintaining a 'good standing,' the organization is ineligible for SOAP funds for the remainder of the semester.
- On the attached application form, a group must explain how the project/trip will benefit Berry, detail the specific sources of its funding and the present amount in the club account, provide a listing of the visible efforts to raise funds specifically for the project/trip for which SOAP funding is requested, give an itemized budget for the project/trip with a breakdown of both the total cost and cost per person, and explain why the number of people requested to attend is necessary or desired.
- The completed application form should be submitted to the SGA office no later than 5 PM on the Monday eight (8) days prior to the Tuesday meeting in which the SOAP allocation is needed to be approved. To ensure proper consideration and the availability of SOAP funds, all applications should be filed as early as possible in the semester.
- SOAP fund requests may not be loans or investments.
- According to the SGA Constitution, Article XV, Section G: "Requests for SOAP funds cannot exceed $1,000.00 for any given event or project."
- Exceptions to the above stated guidelines may be made at the discretion of the BFC, with the exception of guidelines dictated by the SGA Constitution.
