SCOPE

This policy covers courses contained in the Learning Management System(s) managed and maintained by Berry College.  The policy does not cover any additional tools managed or not managed by Berry College.

PURPOSE OF POLICY

To define how long courses contained in the College’s Learning Management System (LMS) will be retained.

The standard operating system is Windows 10 for PC and OS X 10.x for Macintosh. The standard suite of software installed on Berry College computers is fully supported by OIT. 

Employees needing software and/or hardware other than the standard centrally supported configurations must request these items by contacting oitpurchasing@berry.edu. Each request will be considered on a case-by-case basis in conjunction with the software/hardware-purchasing section of this policy. 

Guidelines:

  • No equipment may be connected to the college network without permission from OIT.
  • All software including operating systems should be approved by and installed by OIT A+ Certified personnel.
  • The computer name, administrator account(s), and system settings shall not be changed on Berry owned computers.
  • If a computer has been upgraded and/or altered by someone other than OIT, or equipment added to the network that causes follow-up repair work, a per hour fee of $50 may be charged at the discretion of OIT.
  • Non-Berry College support sources are generally not approved for hardware and software support. Any charges (unless previously approved by OIT) submitted for payment for outside support will not be reimbursed by the college.
  • All computers, tablets, printers, and peripheral equipment must be purchased through oitpurchasing@berry.edu to be supported by Berry OIT.

GUIDING PRINCIPLES

  • To retain course and content for a period of time which instructors and students find adequate and useful.
  • To optimize the performance of the LMS.
  • To ensure that the storage space is used efficiently and to minimize the financial and technical impact of increasing disk storage. 

DEFINITIONS

Course – for the purposes of this policy the term “course” refers to an instance of a course taught in a specific semester.  This is sometimes referred to as a section.

Course data – is defined as any data contained in a course on the LMS.  This includes, but is not limited to: the syllabus, roster, attendance, gradebook, coursework (tests, quizzes), discussion forms, and handouts.

Academic year – is defined with the year of the calendar in the fall and is carried over to the following summer. 

Ex:  Academic year 2014 is: 
2014 10 – Fall 2014
2014 16 – Spring 2015
2014 20 – Summer 2015
